Terms and Conditions

Please read these Terms and Conditions ("Terms", "Terms and Conditions") carefully before using the http://www.empiricalretreats.com website or registering to any events (the "Service") organized by the Empirical Retreats (“Empirical Retreats”, “ER”, "us", "we", or "our").
Your access to and use of the Service is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who access or use the Service.
By accessing or using the Service you agree to be bound by these Terms. If you disagree with any part of the terms then you may not access the Service.
By using this site, you represent that you are at least the age of majority in your country of residence.
I. Booking and Event Delivery
1.1. When booking an event with Empirical Retreats you are reserving a place at the event and signing up to these terms and conditions. You will receive an automated email to confirm your booking and a confirmation of your payment once we have received it.
1.2. By completing an online event booking you are indicating you will attend an event organized by Empirical Retreats. Places on events are limited and are booked on a first-come first-served basis. Your place at the event is confirmed only after the full payment from you or someone making the payment on your behalf is received. Unless otherwise specified in the event description, please kindly make the full payment for events without accommodation no later than 5 bank days before the start date of that event, and in case of events with accommodation (residential events), please make the full payment no later than 45 days before the start date of that event.
1.3. Group bookings may be available at some events. Please contact us at firstname.lastname@example.org in case you would like to book more than 3 tickets at once.
1.4. If an event is full you may be added to a waiting list for this event. In case additional places become available, ER may contact you. To be added to the waiting list for an event, book the event as normal and you will be advised by return you have been added to the waiting list. ER does not guarantee that all or any delegates held on the waiting list will be offered a place on the actual event.
1.5. The duration and location of the event will be specified in the event description for that event.
II. Event Fees
2.1. The fee includes event participation and in some cases accommodation and other materials indicated in the event description for that event. ER will specify in the event description if meals and refreshments are included. Participants are responsible for finding and paying for their own accommodation, if required, and travel. Residential events will be clearly marked and will include accommodation. Full details of what is included in the fee can be found on the relevant event’s description page.
2.2. Participant is responsible for any additional expenses if she arrives in country where the event takes place before the start of the event and leaves later than the end date of that event.
2.3. Travel insurance is not included in neither of the event fees (however highly recommended).
III. Payments and Security
3.1. Where a fee is charged for attending an event, all payments must be completed by a payment card or other payment methods available in your country in the ticketing system used by ER. The participant shall pay the event fee in 1,5 hours after submitting the order. If the participant is late to pay, the participant undertakes the risk that the place at the event may be occupied by another participant who has made the payment earlier. In such case we will refund the event fee paid by you (minus transaction fees) or will transfer your booking to another date or event, if available, whichever suits you best.
3.3. Please note that no payment card details will be held by Empirical Retreats.
IV. Cancellation Policy
4.1. If not indicated otherwise, cancellations of any bookings, as well as no-shows, are charged in full and no refund will be made. Please note that the cancellation policy is applicable for all bookings made, as well as no-shows, as a place has been reserved for you and these incur the same cost and prevent the place being offered to other participants.
4.2. If you have paid in full for a place at one of our events, you may change to a place at one of our other events without charge until 30 days before the start date of the event of your initial reservation, subject to availability. Changes must be made by sending an email to email@example.com. If you choose to change to an event with a higher participation fee than you paid initially, you will need to make an additional payment to cover the price difference. Unfortunately, if you choose to change to an event with a lower participation fee than you paid initially, the price difference cannot be refunded.
4.3. You are allowed to transfer your place to another person, however you must inform ER of any such change as soon as possible, however no later than 7 days before the start date of the event you have reserved a place at, and receive ER’s confirmation. If you would like to transfer your place at an event, please email us at firstname.lastname@example.org indicating your name and surname and the name, surname and contact details (telephone and e-mail) of the person that would replace you.
4.4. No repayment will be made for travel, accommodation and any other costs incurred, by you.
4.5. If Empirical Retreats cancel an event:
4.5.1. Occasionally ER may have to cancel or postpone an event. If a cancellation takes place ER will use reasonable endeavors to notify all customers who are booked on by telephone, email or through other available means of communication. ER will refund your event fee or transfer your booking to another date or event, whichever suits you best. Unfortunately, ER will not be able to refund travel or accommodation expenses or other costs incurred by you. Please note that cancelling ER events is very rare.
4.5.2. Participants are advised not to purchase travel tickets until it is confirmed that their full payment has been received and the event will take place. Unless otherwise specified in the description of the event, ER may cancel the event no later than 30 days before the start date of the respective event.
V. Changes to an Event
5.1. It may be necessary for reasons beyond ER’s control to change the content, speakers or facilitators for an event. ER reserves the right to make these changes to an event without notice to booked delegates. ER will use reasonable endeavors to notify you of changes made to timing and venue.
VI. Force Majeure
6.1. ER shall not be held responsible or liable for delays, event cancellations or any other unfulfilled obligations resulting from causes beyond its reasonable control (Force Majeure), including without limitation fire, explosion, flood, war, strike, act of terrorism or riot.
